Conference Catering

WOODLEIGH SCHOOL | REIMAGINED SEMINAR | ANNUAL 2021 – 2025

The Brief

For five years, we have provided our services to Woodleigh School’s large-scale ReimaginED Conference at their campus in Langwarrin, Victoria.

The ReimaginED Conference has a reputation for being among the most progressive educational gatherings in the Asia-Pacific region.

We were responsible for catering to 280 guests over two days, with three daily events.

Day one included morning and afternoon tea and, for dinner, a canape-style event along with chef food stations.

Day two included morning tea, convenient snack stations, and a buffet lunch with two separate tables.

Our timing was critical as teachers and guest speakers needed to cross campus to attend their meetings and seminars.

The Planning

As with all our events, our primary goal for catering was to ensure the food and service were memorable, leaving a lasting positive impression on our guests. In the briefing, we were informed that many guests would have dietary requirements. Keeping this in mind, our culinary team customised menus for each event to cater to most requirements and give us flexibility.

After tailoring the menus, we organised all the necessary kitchen equipment, cool rooms, plates, cutlery, crockery, and biodegradable disposables. This meticulous preparation ensured we were fully equipped to confidently serve 1,680 guests across the two busy days.

The Execution

Our team’s prior preparation and diligent planning ensured the catering on the day proceeded smoothly and efficiently. We received significant positive feedback regarding the freshness, variety, and quality of our food, along with appreciation for the seamless and discreet service our waitstaff and managers provided.

Catering to the dietary needs of 47 guests was already a substantial task. The challenge intensified two hours before the start when we received an additional 18 dietary requests, raising the total to 65. Each guest required a special meal, including some with severe anaphylactic allergies. Thanks to our bespoke menus, we adapted swiftly and effectively to this unexpected addition.

The Outcome

The success of our initial catering engagement led to the honour of being selected as the caterer for the conference for the following four years. Additionally, we provide catering for smaller meetings, seminars, and student events at Woodleigh throughout the year.
